Mapping bank accounts to the chart of accounts is essential for running Audit Sight’s matching algorithm. It allows debits and credits to cash to be vouched and traced against the company’s banking records.
Audit Sight automatically maps a bank account when there is a clear match. When the automation cant determine a match a to do is surfaced.
How to map bank accounts to the chart of accounts
- Go to Clients > Mapping > Bank Accounts, then select the entity.
- From the dropdown next to each bank account, choose the corresponding GL account. The dropdown lists only GL accounts categorized as Cash in the Chart of Accounts mapping.
- Click Save
If you don’t see the GL account you need:
- Go to Chart of Accounts Mapping under the client’s profile.
- Find the account and change its category to Cash.
- Refresh the Bank Account Mapping page. The account will now appear in the dropdown.
Mapping rules:
- A bank account can be mapped to only one GL account.
- A GL account can have multiple bank accounts mapped to it.
Automatic mapping
Each time Audit Sight processes the client’s data, such as after a new accounting or banking import, it checks bank accounts that are unmapped and not ignored.
Audit Sight maps an account only when exactly one Cash GL account is the clear match, using the following information:
- Account number: The bank account’s number, or its last four digits, appears in the GL account’s name.
- Account name: The bank account’s name matches the GL account’s name.
- Account purpose: A word such as Payroll, Tax, Trust, Escrow, Sweep, or Restricted appears in both names.
- Monthly activity: When names and numbers don’t establish a match, Audit Sight compares the bank account’s monthly activity with the GL account’s monthly debits and credits. The match must be at least 90% over three or more months and clearly ahead of every other Cash GL account.
If multiple GL accounts could match, or no clear match exists, Audit Sight leaves the bank account for you to map. It never changes an existing mapping.
An automatic mapping shows a green Mapped status with sparkles. Hover over the status to see the reason, for example:
- “Mapped automatically: Account number ending 2052 appears in the GL name”
- “Mapped automatically: Monthly activity matches this GL account (96% over 12 months)”
Automatically ignored accounts
Credit card and loan accounts are not bank accounts but sometimes uploaded in error. Audit Sight automatically ignores them when their statements are imported.
These accounts show a grey Ignored status with sparkles. Hover over the status to see the reason, for example:
- “Ignored automatically: Credit card account, not a bank account”
- “Ignored automatically: Loan account, not a bank account”
To include an automatically ignored account, toggle it back on. Audit Sight will not automatically ignore it again.
Changing or removing an automatic mapping
- To change a mapping: Select another GL account and click Save. The sparkles disappear, and Audit Sight will not change your mapping.
- To remove a mapping: Set the dropdown to None and click Save. The bank account remains unmapped until the next accounting or banking import, when Audit Sight may map it again. To keep an account excluded, toggle it off.
Reviewing automatic mappings
The Standard Cash Proof review checklist asks you to review bank account mapping before downloading the workpaper.
Look for the sparkles and verify that each automatic mapping and automatically ignored account is appropriate. Hover over each status to see why Audit Sight made the decision. Correct any mapping or toggle an ignored account back on as needed.
How to ignore a bank account
If an erroneous bank statement was uploaded or you need to exclude a bank account:
- On the Bank Account Mapping page, find the bank account.
- Toggle it off.
Ignoring an account removes it from the matching algorithm and all workpapers. It does not delete the account. The account remains in the system for reference, and you can toggle it back on at any time.
FAQs
Why don’t I see any GL accounts in the dropdown?
- Make sure at least one GL account is categorized as Cash in the Chart of Accounts mapping.
- The client’s accounting data may not be synced yet. Check that it is connected and synced.
Why didn’t Audit Sight map my bank account?
Audit Sight maps a bank account only when exactly one Cash GL account is the clear match. If names and numbers point to multiple accounts or none, and monthly activity does not establish a clear match, the account is left for you to map manually.
Will Audit Sight change a mapping I made?
No. Audit Sight only maps bank accounts that have no mapping.
What happens if I ignore a bank account?
Ignored accounts are removed from the matching algorithm and excluded from all workpapers and testing. They remain in the system for reference.
Can I un-ignore a bank account?
Yes. On the Bank Account Mapping page, find the account and toggle it back on. This includes accounts Audit Sight ignored automatically. Once you toggle an automatically ignored account back on, Audit Sight will not automatically ignore it again.
What if my client updates the chart of accounts during the year?
You can download the bank transactions and upload them to the new account. Contact our support team for help with this process.
